Articles 5 and 6 of the Regulations for the safe use of the University of Girona corporate email establish the use that we can make and the duties that we have:
Article 5.Use of the email service
- Users of the service can send and receive messages, organise and administer folders, apply filters to automatically take action relating to incoming messages and establish an auto-reply message in the case of temporary absences.
- The user has to access their mailbox regularly, manage the messages correctly and avoid disproportionate storage.They must also apply the protocols and instructions referring to specific aspects of the use of email.
- Corporative mail may only be used for tasks or functions linked to working with the University.It cannot be used for other purposes outside those linked to or resulting from the working relationship.
- When using the service, the rights and interests of the university must be respected at all times, as well as the rights and interests of third parties.The user must avoid any use contrary to this rule and to the laws.
Article 6.Duties of users of the Service
- The user of the service has to keep secret the credentials that give access to the email inboxes.Knowledge of these credentials on the part of another person represents a security incident that must be notified via the incidents and requests system for the service.
- The inbox and the associated personal email address is a resource which may only be used by the person it is assigned to.The user cannot authorise use by another person.The generic and institutional inboxes have person assigned who is responsible for them and who must manage requests for authorisation or revocation of access.
- The user has to report any incident, error or occurrence that has affected or potentially affected the security or confidentiality of the service, or that contradicts this rule.They must report the matter to the Computer Service as a security incident using the ICT incidents and requests service found in La meva UdG.
- The user is not authorised to send mass mailings with their personal email account.
- The redirection of UdG email addresses to systems not managed by the UdG is not authorised.
- Users are not allowed to send emails with UdG mail domains from systems not directly or indirectly managed by the UdG Information Technology Service unless explicitly authorised to do so.
