Depositing doctoral thesis in a jointly supervised defence outside the UdG

Doctorate

A doctoral thesis can be co-supervised between the UdG and one or more foreign universities or higher education institutions, through a co-supervision agreement.Theses can be defended in any university participating in joint supervisions.In the case of theses that not defended at the UdG, doctoral students will have to present the following documents required for the authorisation of their thesis’ defence to the School of Doctoral Studies, once the composition of the panel has been approved by the other University.

Application 

Who

It must be requested by students enrolled in a doctoral programme who, in accordance with their co-supervision agreement, defend their doctoral thesis outside the UdG.

Where

The application must be submitted online, through the UdG Online Secretary's Office.

When

The application must be submitted  along with the required documentation before defending the doctoral thesis at the other university.(The academic committee of the UdG doctoral programme will approve the submission and authorise the defence at the corresponding meeting according to the established calendar.)

How?

To formalise their applications, students will have to access the Procedures section of the Virtual Secretary's Office, start the generic “Application to the administration” procedure, choose the “Deposit of the jointly supervised doctoral thesis defended outside the UdG” option and attach the following documents to a single archive in ZIP format:

  1. Application form for depositing jointly supervised doctoral theses defended outside the UdG correctly filled in (it can downloaded from Forms page).
  2. An electronic file with the complete contents of the thesis in PDF format.
  3. CV in CVN format, taken from the current CV management app at the university or similar.
  4. Document approving the composition of the board of examiners from the other university.
  5. Document issued by the thesis supervisor at the UdG where, depending on the tribunal appointed by the other university, the three full members according to the legislation applicable to the UdG are stated (president, secretary and member), with the following data: name and surnames, email address, institution and country.
  6. Authorisation for defending the thesis at the other university, explicitly stating the date of the defence.
  7. Certificate(s) issued by the thesis supervisor detailing the research stays at the participating institutions during the thesis preparation process (minimum stay of 6 months at each institution, in a single period or multiple periods).
  8. Signed declaration of the use of artificial intelligence in the doctoral thesis (the template can be downloaded from the Forms page).
  9. Declaration of authorship with the necessary information for publication in the Online Doctoral Thesis Repository (TDR) after the thesis defence (the template can be downloaded from the Forms page).
  10. If applying for the international mention, documentation proving fulfilment of the requirements established in article 8.4 of the current regulations relating to stays, reviewers and the members of the panel.
  11. If applying for the industrial mention, documentation proving fulfilment of the requirements established in Article 8.5 of the current regulations regarding the agreement and contract signed between the entity, company or public administration and the UdG.

Who

The body responsible for resolving the application is the academic committee of the corresponding doctoral programme.

When

The School of Doctoral Studies must make the documentation available to the academic committee of the corresponding doctoral programme, which, within a maximum of 30 business days, must authorise, if it deems it appropriate, the defence of the doctoral thesis at the other university.

How?

Once the procedure has been completed, the student will receive an electronic notification with a link to the resolution of the application.The resolution does not end the administrative process. An appeal may be lodged with the Rector of the University against the resolution within one month from the day following notification, in accordance with the provisions of Articles 121 et seq. of Law 39/2015, of 1 October, on the common administrative procedure of public administrations.
