Introduction

The introduction of EHEA undergraduate studies at the UdG, with the consequent incorporation of systems of ongoing assessment, makes it necessary to adjust student evaluation regulations to establish common standards for the entire University.

A review of the continuance standards that the UdG has initiated requires a coherent readjustment of all the academic regulations. Until that readjustment is made, the new situation must be dealt with.

It must be remembered, however, that the proposal establishes that each module or subject have only one grade per academic year on each student transcript.

Chapter I. Evaluation
Article 1. Evaluation

1. The UdG will guarantee its students the right to be objectively evaluated and to have the level of competences attained verified.

2. Given that learning is a process, the evaluation systems used at the UdG are based on the principles of ongoing assessment, which is understood to mean an evaluation procedure that allows instructors to measure academic performance and student progress based on the work they have completed in planned activities during the evaluation period and to direct them towards improved learning, while allowing the students to know at any moment how instructors are evaluating their work.

Article 2. Systems of evaluation

1. The systems of evaluation will be established in the subject or module descriptions and based on one or more of the following activities:

a) Theoretical classes, seminars and other complementary activities.

b) Practical sessions.

c) Work related to the contents and activities of the subject.

d) Mid-term tests.

e) Comprehensive, end-of-term tests.

f) Other specific activities that also guarantee the objective assessment of the student’s performance.

2. In the subject descriptions published on the teaching intranet the teaching staff will present clear and concise information about the system of evaluation used to verify students’ levels of competences and to establish grades. Students will be graded in accordance with the assessment criteria in the subject or module description. If participation in activities is compulsory, that must be clearly indicated and may be included in certain specific and/or generic competences. All groups taking the same subject will be evaluated under the same system.

3. Given that some students will stop participating in one or more of the planned assessment activities, the conditions under which a grade of incomplete can be given must be clearly stated on the teaching intranet.

4. The instructors will keep the evaluation material for a month after the final date for submitting grades, unless a complaint is filed.

5. Students will only receive one final grade per subject or module per academic year. This grade will be given by the instructor of the subject or module, in accordance with the evaluation criteria referred to in previous sections of these regulations. Depending on the nature of the assessment activities, the criteria will indicate which activities, and by means of which procedures, can be made up during the year. The faculty or school committee, at the proposal of the corresponding student councils, will establish the provisions to make up the evaluation activities. They will also establish the periods of evaluation for each subject or module and possibly chose a period different from the one planned.

Chapter II. Special registration
Article 3. Definition

Students who are about to complete their studies and wish to move the evaluation session of all or some of the remaining subjects and modules forward may request a special registration for these subjects in the faculty or school.

Article 4. Requirements

Students can request special registration for a maximum of 30 credits in subjects or modules needed to complete their studies.

Article 5. Procedure

Students may request that planned evaluation sessions be moved forward. First of all, they must have registered for these subjects or modules following normal procedures before requesting a special registration in the office of the academic secretary of the corresponding faculty or school within the period of time specified in the academic calendar.

Article 6. Decision, notification and effect

1. The person authorised to rule on the requests is, in the case of studies offered in faculties and schools of the University of Girona, the dean of the faculty or the director of the school, and in the case of programmes offered in faculties and schools affiliated or associated with the University of Girona, the representative of the dean or of the director.

2. The academic secretary of the faculty or school will notify the student of the ruling on the request. The notification received will also inform the student about the possibility of appealing the decision.

3. It is possible to repeal the ruling if the student withdraws the request for a special registration, provided that it is done within the of time period established for that purpose.

4. This ruling does not exhaust administrative appeals. Regardless of immediate enforcement, interested parties may lodge an appeal with the rector within the period of one month and a day after the notification is received, in accordance with that which is established in article 115.1 of Law 30/1992, of 26 November, of the legal system of public administrations and common administrative procedures, amended by Law 4/1999, of 13 January. Likewise, the interested persons may lodge any other appeals they consider appropriate for the defence of their interests.

Additional provision

For the purpose of subject planning, information about exams, exam reviews, final grade appeals and assessment and grade reports, the following sections of these regulations are applied: chapter II, articles 17 to 20 and 23 to 26 of chapter IV, chapter V and chapter VI of the Regulations for instructional planning and the evaluation and grading of students, approved by the Management Committee in sessions on 13 and 20 October 1994 (BOU no. 11) and amended by the Governing Board in session 6/00, of 27 July and 7 September 2000.

Final provision: effective date

These regulations for the systems of evaluating students in official undergraduate studies at the UdG will take effect at the beginning of the 2009-2010 academic year.
